Job Description

Job Purpose: Be responsible for the successful delivery of student experience and administrative activities within ARU Language Centre, making a professional contribution to the development and delivery of a proactive, high quality, customer focused and strategic Language Centre at ARU.
 
Dates: ASAP until 12th November 2023

Location: Cambridge campus

Pay rate: £14.05 per hour
 
Hours: 37 hours per week, 8am - 5pm 
 
Principal Accountabilities:
  • Be responsible for the effective planning and successful delivery of the induction and orientation programmes and progression procedures for all ARUCLC students, from point of recruitment through to completion, liaising with university services/faculties/colleagues as appropriate.
  • To be responsible for the administration of Associate Lecturer contracts including checking Right to Work documentation, creating records in the University’s Associate Lecturer database, ensuring that pay claims are authorised in a timely manner and adhering to UK Visas and Immigration (UKVI) regulations at all times.
  • Oversee the monitoring and recording of student attendance, assisting in the completion of offer letters and registration forms by international students and chasing up non-arrivals and Right to Study documentation where necessary, in conjunction with the International Admissions Team.
  • Manage the financial administration of ARUCLC, including the operation of a corporate purchasing card and provide feedback to facilitate resource planning.
  • Organise and co-ordinate social activities for students on ARUCLC programmes, by e.g. booking events and experiences, arranging payment, travel and hospitality and ensuring activities are run efficiently.
  • Organise and co-ordinate ARUCLC activities/events/meetings by e.g. collating and circulating relevant information/documentation, booking venues, hospitality, co-ordinating diaries and ensuring activities/events/meetings are run efficiently.
  • Resolve complex issues/queries to ARUCLC independently in a courteous, timely and effective manner, providing advice on specialised but established procedures, recommending alternative sources/courses of action if unable to assist.
  • Organise and prioritise own workload, taking into account the needs of the team and contributing to the achievement of the Centre’s strategic objectives.
  • Devise, implement and review administrative and customer service practices and procedures relating to ARUCLC, identifying subsequent improvements where appropriate.
  • Understand when to escalate issues of compliance in relation to ARUCLC students to the Director of the Language Centre and/or Compliance Unit colleagues, making recommendations for rectification where possible.
  • Liaise with the Business Development Manager, International Office agents travelling overseas, international partners and other stakeholders in relation to information management, as required.
  • Deputise for the Business Development Manager, as and when appropriate.
  • Comply with General Data Protection Regulation requirements in all working practices and maintain confidentiality as necessary.
Person Specification: 
  • Degree (qualifications below degree level will be considered if applicants demonstrate solid experience and evidence of continuing professional development in an appropriate area of activity)
  • Experience in a relevant role
  • Experience of working in an educational or student environment
  • Demonstrable customer service experience
  • Familiarity with international students and context
  • Experience of planning and co-ordinating events 
  • Experience of managing differing priorities and initiatives to tight deadlines
  • Excellent communication skills
  • Excellent interpersonal skills
  • Good IT skills with proficiency in Microsoft Office 
  • Good organisational and time management skills
  • Accuracy and attention to detail
  • Ability to prioritise, work under pressure and to tight deadlines
  • Proven ability to work with stakeholders of varying levels and cultural backgrounds
